All about Consolidated Time Recording (CTR)

Two Systems, One Interface.

For organisations using SAP S/4HANA Cloud Private / Public Edition alongside SAP SuccessFactors Time Management, time recording has historically sat across two different domains. S/4HANA manages the financial and operational context of time; such as projects, internal orders, cost centres and cost allocation, while SuccessFactors manages the HR dimension, including working-time rules, time valuation, compliance and payroll.

SAP Consolidated Time Recording (CTR) brings these two worlds together and aligns with SAP’s broader suite-first strategy. With My Timesheet, Version 4 in S/4HANA Cloud Private Edition and Manage Timesheet in S/4HANA Cloud Public Edition for Professional Services, acting as the primary time-entry interface, employees can record working time once while supporting both time-to-project and time-to-pay processes.

By capturing time within S/4HANA, organisations can retain the direct connection between employee time and the financial objects against which that work is performed, for example, projects, internal orders or cost centres. At the same time, the relevant SuccessFactors Time Management business rules and time valuation logic can be applied via Real-Time Cross-System Validation as part of the CTR process. Once the time entry has passed the applicable validations and approval workflow in S/4HANA, the approved time can be transferred to SuccessFactors as External Time Data for further HR and time-management processing.

This helps address a common challenge in complex organisations: employees and managers should not have to understand which system owns which part of the time process. The architecture should manage that complexity behind the scenes.

The result is a clearer operating model:
One employee time entry → operational and financial attribution in S/4HANA → HR and payroll processing in SuccessFactors.

Note: CTR is not simply an integration between two systems; it creates a consolidated process across finance, and HR time management.

Why Organisations should care?

The real value of CTR is therefore not just “integration”. It is the ability to reduce fragmented time-recording processes while preserving the specialist capabilities of each platform.

Organisations should consider CTR where employees need their working time to support multiple outcomes, such as:

  • Project accounting and project reporting
  • Cost allocation and financial controlling
  • Internal orders or cost-centre charging
  • Attendance and other HR time-management processes
  • Overtime and time valuation
  • Working-time compliance
  • Payroll processing

Key use case: Where the same employee time needs to serve both financial and HR purposes.

Where CTR makes sense?

CTR is most relevant for organisations using SAP S/4HANA and SAP SuccessFactors that want employees to record time through S/4HANA My Timesheet, Version 4, while connecting that time with SuccessFactors Time Management and relevant S/4HANA business processes.

CTR can be a good fit for:

  • Project-driven organisations where employees record time against S/4HANA projects, WBS elements, cost centers, or other supported business objects.
  • S/4HANA-centric processes where recorded time needs to support project costing, controlling, billing, or other ERP processes.
  • Integrated time-management scenarios where time recording needs to support attendance, absence, breaks, allowances, time valuation, and related HR processes alongside S/4HANA business processes.

The right fit ultimately depends on the organisation’s system landscape, time-management requirements, integration design, and business processes.

Why use CTR when SuccessFactors already has Time Tracking?

SAP SuccessFactors Time Tracking can be recorded and attributed for cost purposes against cost centre only. The decision is primarily about where employees record time and how that time needs to support downstream business processes.

For organisations that rely heavily on SAP S/4HANA project and financial processes, My Timesheet, Version 4 provides an S/4HANA-centred time-entry experience that can support both time-to-project and time-to-payroll. The recorded time can contribute to S/4HANA processes such as project costing and billing, while also participating in SuccessFactors Time Management processes.

How SAP Consolidated Time Recording (CTR) work?

CTR Implementation and Configuration

CTR requires a compatible SAP S/4HANA Cloud Private / Public Edition and SAP SuccessFactors landscape, along with the required integrations and Time Management configuration. It is therefore more than simply enabling a feature.

Key implementation requirements include:

  • SAP S/4HANA Cloud Private Edition (My Timesheet – Version 4) / Public Edition (Manage Timesheet)
  • SAP SuccessFactors Time Tracking
  • Workforce Person integration from Employee Central to S/4HANA
  • Integration between S/4HANA and the SuccessFactors Workforce Availability Solution
  • Required SuccessFactors Time Management configuration, including Time Profiles, Time Recording Profiles, time types, and External Time Recording Groups

External Time Recording Groups are particularly important because they identify the employees whose time is recorded through the external time-recording system, such as S/4HANA My Timesheet. For these employees, My Timesheet is used to create, change, and delete time entries, while the automated data exchange with SuccessFactors is handled through the configured technical user.

Approval also needs to be designed carefully. For CTR Absences users, the S/4HANA My Timesheet approval process is used. A separate SuccessFactors approval workflow should not be configured for the same CTR users, as this can result in conflicting approval processes.

A typical CTR implementation covers:

Landscape assessment → prerequisites → master-data integration → Time Management configuration → S/4HANA configuration → permissions and technical users → integration → testing → monitoring

SAP has continued to expand CTR. Recent enhancements include cross-midnight attendance recording, fixed-break generation, allowance recording, real-time absence display, and work-schedule details in My Timesheet.

With the 1H 2026 release, CTR also supports real-time replication of supported attendance records from S/4HANA My Timesheet to SuccessFactors Time Sheet, including records that are still pending approval. This helps prevent collisions between attendance records in S/4HANA and absence or other time records in SuccessFactors.

Important: CTR prerequisites and supported capabilities vary by SAP release and configuration.

Always validate the requirements against the customer’s specific S/4HANA and SuccessFactors releases before implementation.Where the same employee time needs to serve both financial and HR purposes.

CTR Benefits

CTR can provide several benefits for organisations running SAP S/4HANA and SuccessFactors together:

Check

One consolidated time sheet experience for supported S/4HANA and SuccessFactors processes.

Check

A single time-entry point that can support both time-to-project and time-to-payroll.

Check

Closer alignment with S/4HANA business processes, including project, costing, controlling, and billing processes.

Check

SuccessFactors Time Management capabilities for relevant time valuation, compliance, and payroll-related processes.

Check

Reduced duplication across separate time-recording experiences.

At the same time, CTR has specific architecture, release, configuration, and integration dependencies. Organisations need to consider master-data integration, permissions, Time Management configuration, technical users, approval design, and ongoing monitoring.

CTR is therefore best evaluated as an architecture and process decision, rather than simply as another SuccessFactors Time Tracking feature.

CTR Limitations & Considerations

CTR provides a consolidated time-recording experience between SAP S/4HANA and SuccessFactors, but it is not a universal replacement for every time-management architecture.

  1. Not All SuccessFactors Time Tracking Capabilities are Available Through CTR.
CTR does not expose every SuccessFactors Time Tracking capability through the S/4HANA timesheet experience. For example, dynamic breaks are currently not supported with CTR. This means organizations with highly sophisticated time-recording rules should validate their specific requirements before choosing CTR.
  2. CTR Still Requires Significant Configuration and Integration Setup.
CTR simplifies the user experience, but it does not eliminate implementation work. Employee integration, Time Profiles, Time Types, Time Valuations, permissions, mappings, approval configuration, and data flows between S/4HANA and SuccessFactors still need to be designed, configured, and tested.
  3. Some Time Data and Processes Remain System-Specific.
CTR creates a consolidated recording experience, but SuccessFactors and S/4HANA do not become a single system. Certain data and processes remain governed by their respective applications. For example, SuccessFactors continues to provide important Time Management configuration and valuation, while S/4HANA handles its ERP/project-related processes.
  4. Absence recalculation is not triggered on changes to the work schedule or any holidays.
  5. Since the absence can’t be changed in SAP SuccessFactors, the absence reallocation process is also not triggered.

What CTR is Not

A few common misconceptions are worth clearing up:

CTR is not generic middleware. It is a specific time-recording scenario that connects SAP S/4HANA and SAP SuccessFactors Time Management.

CTR is not mandatory for SuccessFactors Time Tracking. SuccessFactors Time Tracking can be used without CTR.

chat

CTR is not a replacement for every attendance system. Badge readers, biometric devices, mobile clock-in solutions, and third-party systems can still be used where required.

CTR is not a productivity-monitoring system. Time data can capture recorded hours, attendance, overtime, and project allocation, but it does not measure employee productivity.

Frequently Asked Questions

What are the prerequisites for SAP SuccessFactors CTR?

Is SAP CTR the same as CATS?

Does CTR replace SAP SuccessFactors Time Tracking?

Can CTR work with external time-recording systems?

External attendance or time-recording systems can still be part of the wider SAP landscape. However, CTR itself is not a generic integration hub for these systems. Each external integration needs to be evaluated based on the specific landscape and supported integration scenario.

Conclusion

A simple way to think about CTR is:

SuccessFactorsHR and Time Management
S/4HANAERP, projects and business processes
CTRA consolidated time-recording capablity connecting the two through an S/4HANA-centred timesheet experience

The decision is therefore not simply whether SuccessFactors can record time. It is about where the time-recording experience should sit and how the organisation needs to use that time data.
